Who is responsible for your data?

connection with membership and membership services.

What information do we process?
We process only the information needed for the purposes below. Depending on
your membership, this can include:
- name, membership number, membership category, and scientific sections;
- email address, telephone number, and postal address;
- organisation, EAN number, and institution-paid status;
- membership, payment, and tax-reporting information; and
- technical and administrative information, such as a member ID, update time,
and limited audit information about a change.
We do not use CPR as an ordinary membership detail. We process CPR only for
self-paying members when necessary to report a tax-deductible membership fee to
the Danish Tax Administration (Skatteforvaltningen). This processing is based
on Ligningsloven section 13, Skatteindberetningsloven section 31, GDPR Article
6(1)(c), and Danish Data Protection Act section 11(2)(1).
A member may instruct us, before the end of the calendar year, not to report
the fee. This means that the member will not receive the associated tax
deduction. CPR is processed only in separate, restricted, verified encrypted
storage and is never shown in the membership profile or ordinary member
messages.
Where does the information come from?
Information normally comes from you when you join or update your membership
profile. We may also receive, or already hold, membership information from the
association's earlier membership administration or from a request to correct
your information. When information does not come directly from you, we provide
the required information within the applicable period.
Why do we process information, and on what basis?
We do not use information for new, incompatible purposes without first
assessing the basis and informing you where required.

Who receives or processes information?
Only people in the association with a work-related need may access information.
Access is restricted by role.
We use Wix to operate the website, member login, and approved membership-data
functions. Wix processes information on our behalf as a processor under Wix's
Data Processing Agreement. Wix may use subprocessors and transfer data
internationally as described in the current Wix Data Processing Agreement and
subprocessor list. We review these details again before publication and when
relevant changes occur.
We disclose information outside the association only where necessary and with a
legal basis, including to Skatteforvaltningen for mandatory tax reporting. A
future email provider may receive only the information needed for an approved
member message, and never CPR. The specific solution and recipient list will be
reconfirmed before any such message is sent.
How long do we keep information?
We keep active membership information while membership is active and regularly
review whether it remains necessary. Ordinary membership profiles are deleted
or anonymised promptly when membership ends. We retain only the minimum
information that must still be kept for accounting, tax reporting, or a specific
legal hold. Where the Danish Bookkeeping Act applies, the period is five years
from the end of the relevant financial year.
We do not keep a standing archive of ordinary former-member profiles or routine
backups of them. Temporary import or recovery copies are deleted after the
approved verification.
Your rights
Under data-protection law, you generally have the right to:
- access the information we process about you;
- have inaccurate information corrected;
- have information deleted where the conditions are met;
- restrict processing;
- object to processing, including processing based on legitimate interests; and
- receive or transfer information (data portability), where the conditions are
met.
Contact jerik@chem.ku.dk to exercise a right. We may request enough evidence to
confirm your identity before giving access to or changing information. Ordinary
profile corrections are made through the authenticated membership-registration
page; other requests are handled through this contact route.
You may complain to the Danish Data Protection Authority (Datatilsynet) if you
are unhappy with how we process your personal data: link
Security and changes
We use appropriate technical and organisational measures to protect information
against unauthorised access, loss, and misuse. We may update this notice when
our processing changes or when required by law. The current version will be
available on the website. For a material change, we will provide information in
the way appropriate for that change.
